We're Hiring a Seasonal Program Assistant

The Program Assistant for the Christmas Program provides support that is needed to meet the needs of the program and the clients served. This position runs from September to January and is approximately 35 hours per week, with some evening work and some Saturday work. The core duties include packing, receiving/stocking inventory, supporting the distribution process, calling clients, training volunteers, and managing the process flow in the Program Directors absence. Schedules are coordinated by the Christmas Program Director.

Essential Duties

These are the core component duties for the position and are not to be considered an inclusive list.

  • Assist with processing incoming donations and inventory organization.
  • Assist with packing and distribution.
  • Work with the Christmas Program Director to identify families that have self-identified as needing additional support and referring for follow-up.
  • In the absence of the Program Director, coordinate activities according to a plan and schedule, provide support and assistance to volunteers, interact with those making donations. It is expected that the Program Director will receive a debrief upon returning.
  • Assist with contacting families who have requested more information and resources.
  • Provide guidance and support to volunteers; ensure there are adequate supplies available.
  • Participate in the end of season recap with the Christmas Program Director to evaluate the results and impact of the program for the year ending and identify areas for improvement.
  • Assist with end-of-year inventory counting process.
  • Other duties as assigned.

Education/Experience

High School Diploma or equivalent. Preferred experience in a social service environment with a volunteer presence. Must have experience with Microsoft Office, specifically Word, Excel, and Outlook. Must have strong organizational skills, be detail-oriented, self-motivated, work with minimal supervision, and be able to handle stressful situations where multi-tasking is essential. Must have to ability to work a flexible schedule as some evening and weekend work will be required. Must have strong written and oral communication skills as well as phone etiquette skills.

Physical Demands/Conditions

Moderate lifting (to 35 lbs.) required. Moderate reaching, pushing, pulling, walking, and standing for long periods of time required. Must be able to comfortably move up and down stairs, often carrying boxes or inventory items.
