Location:

Waterville, Maine (hybrid available; must live within regular commuting distance)

Position Type:

Full-Time, Exempt. M-F, with occasional evenings or weekends possible

Compensation:

$50,000-$55,000, plus benefits and generous paid leave; starting salary is determined by factors including qualifications, experience, education, and years in the industry.

What You'll Do:

Reporting to the Director of Advancement, you will be responsible to:

  • Manage and optimize the donor/prospect/volunteer/marketing CRM as a subject matter expert and administrator, ensuring accuracy, security, and functionality for everyone
  • Develop and implement data entry standards, building and maintaining an advancement services procedures library and training team members
  • Provide a helpful, positive “customer service” experience for all donors and prospects, including by phone, email, and in-person
  • Lead and execute gift processing and accurate, timely gift acknowledgments and correspondence for all financial and non-cash gifts, including estate gifts and grant awards; may include seasonal day-to-day direction of a team assistant
  • Lead and execute ongoing data hygiene and integrity activity
  • Conduct proactive and reactive detailed donor and prospect research and segmentation to identify and qualify individual, corporate, and foundation prospects
  • Assist in maintaining prospect pipeline and ensuring moves management activity tracking
  • Create accurate and timely lists, reports, and dashboards for campaigns, mailings, etc.
  • Provide data-informed insights to guide development strategies, planning, and campaigns
  • Ensure compliance with the IRS, privacy laws, and advancement services best practices
  • Collaborate with the full advancement team to support strategic fundraising, stewardship and recognition, marketing and communications, and volunteer efforts

What We’re Looking For:

  • A bachelor’s degree, plus 2–4 years of experience in nonprofit development operations and gift administration or prospect research
  • A genuine love of clean data, excellent spelling, good systems, and accurate reporting
  • Strong tech skills and admin experience in CRM and tech systems (e.g., NeonCRM, Raiser’s Edge, Salesforce), and Microsoft Office skills (i.e., Word and Excel)
  • Typing speed minimum of 65 wpm with near-perfect accuracy
  • Ability to work independently and as a part of a team
  • A self-starter with a default of problem-solving, troubleshooting, and eagerness to learn
  • Careful attention to detail and commitment to donor confidentiality and customer service
  • A helpful, “can do” attitude and a commitment to Maine Children’s Home’s mission

We're Hiring a Program / Project Assistant

Maine Children’s Home is looking for a reliable, hands-on Program/Project Assistant to support key areas of our work—including donor services, volunteerism, administration, and the Christmas/Winter Essentials program. This position is cross-departmental in office and light warehouse settings and is perfect for someone who loves variety, enjoys both administrative and physical tasks, and wants to make a difference in a local, community-centered organization.

Waterville, Maine (in-person)

Position Type:

Full-Time, Non-Exempt (35-40 hours/week, depending on applicant; will include some evenings or Saturdays in busy season, scheduled in advance)

Compensation:

starting at $20/hr., plus employee benefits

What You'll Do:

  • As part of the Christmas/Winter Essentials Team, reporting to the Program Director, you’ll:
    • Assist the Christmas/Winter Essentials (C/WE) Program Director with application and gift intake, inventory organization, recipient communication, volunteers, and program flow
    • Support the C/WE Program Director and manage program flow if they are absent
    • Move and sort boxes and bags of new clothing and essentials; work alongside volunteers and staff for inventory/gift intake and care package filling, organization, and distribution
    • Assist in executing volunteer-related tasks like recruitment, records, and outreach
  • As part of the Advancement Team, reporting to the Director of Advancement, you’ll:
    • Provide excellent customer service to all volunteers, donors, and clients and participants who connect with Maine Children’s Home, whether in person (on campus, at events, and in the community), by phone, or through correspondence
    • Assist the Advancement Services Manager by entering donation and donor information in our database system and processing thank-yous
    • Tackle a mix of behind-the-scenes and hands-on work with professionalism and care
    • Support the Director of Advancement with administrative tasks such as scheduling, meeting preparation, filing, data management upkeep, and communications
    • Support organization event planning, logistics, and follow-up

What We’re Looking For:

  • Experience in administrative, customer service, project logistics, and/or social services work
  • Detail-oriented and highly tech-comfortable, including with Microsoft Office. Must have typing/keyboarding and computer skills, not only tablet or smartphone skills.
  • Attention to detail, good spelling and punctuation, and ability to maintain confidentiality
  • Friendly, adaptable, and dependable with strong team orientation
  • Passion for community work and a willingness to pitch in wherever needed
  • Excited to be part of a team that makes a real impact every day

Job Requirements:

  • Must be able to regularly lift and move items of up to 30 lb. as part of essential job duties
  • Must be able to regularly navigate stairs, including while carrying items
  • Must be able to use a computer, tablet, and phone effectively
  • Must be able to communicate clearly via phone, written communication, and in person
  • Must be able to regularly engage in moderate sitting, standing, walking, and reaching
